Administrative Assistant (Part-Time, Contract)

About the Role

High Five Tourism Solutions is growing and looking for a part-time Administrative Assistant to support day-to-day operations and keep projects moving across a portfolio of tourism and nonprofit clients.

This is a highly trusted role. You will work directly with the CEO to manage schedules, coordinate projects, and ensure nothing falls through the cracks. When the CEO is in deep dive meetings or traveling, you keep momentum going. This role is best suited for someone who is proactive, detail-oriented, and takes pride in keeping work moving without constant direction.

High Five Tourism Solutions is a boutique management services firm supporting visitor bureaus, economic development authorities, chambers, museums, cultural organizations, and heritage areas across the Mid-Atlantic and Midwest.

Services range from fractional Executive Director leadership and board-level strategy to program management and project-based execution. The company is hands-on, fast-moving, and focused on helping organizations move from concept to implementation with clarity and momentum.

What You’ll Do

  • Schedule client meetings (Zoom and virtual coordination)

  • Prepare agendas, meeting materials, and client packets

  • Coordinate with support partners to keep work moving

  • Draft emails, reports, and client communications

  • Format PowerPoint presentations and reports

  • Organize files and maintain systems in Google Drive

  • Upload and monitor surveys (SurveyMonkey)

  • Support expense tracking

  • Manage image libraries and digital assets

  • Make basic website updates as needed

 What We’re Looking For

  • Experience in an administrative or coordination role

  • Strong organizational and time management skills

  • Clear, professional communication skills

  • High attention to detail

  • Ability to work independently in a remote environment

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Someone who brings consistency, dependability, and a collaborative approach

  • Appreciates working with a diverse range of personalities and technology skill sets

  • Constant Contact or Mailchimp

  • Social media content management

  • Squarespace or Wix

  • WordPress

  • Adobe Creative Suite

 

Location

Remote, with preference for candidates within driving distance of Annapolis, Maryland (MD, DC, VA, DE, Eastern PA).
